How do I enter a book on the fly?

Creating OTF Records

  1. OTFs can either be created in the F2 tab when you are checking out a book for a patron or in the F4 tab. Enter the title of the book in question and click “Search.” Click “Yes” when the “Search Difficulty” box appears.
  2. Fill in the fields under “Title Information.” Enter book title in capital letters. Then fill in “Item Information” fields. The only required fields are Owning Branch and Barcode number (Item ID), but you want to make sure you fill in the “Call No. Prefix” (if necessary), “Call No. Class” and “Cutter” fields so this information shows up in the OPAC. By default, your school name will be displayed in the Owning Branch field. In the Collection field, the first collection code (alphabetically) for your school will be displayed. Scroll up or down until you reach the one you want.
  3. Save the record by selecting either “Save In-Transit” (save new item and give it in-transit or ‘T’ status) or “Save + Check-in” (save new item and automatically run it through check-in at the same time).
